Position Information
- Position #– Six-character value used to uniquely identify the position. LEAs often use site number for the first three characters and sequential numbers for the last three characters. Example: For positions at Site 304, Position 304001, 304002, etc.
- Allow Update– Indicates whether Assignment information can overwrite Position information. If this field is set to 'Yes', Pay Table, Grade, and Budget Codes are updated from Payroll Assignment data in the following instances:
- when the Rebuild Position Budget Codes Mass Update is run.
- when Assignment Information is imported from the Edit Position form
- when the 'Sync Budget Codes to Position' function is run from the Edit Assignment form.
- when an assignment is archived (end date passes).
- Primary Site – Site location where the majority of position functions are performed. Sites are defined in LEA Configuration.
- Position Title – High-level grouping to which the position belongs. Position Titles are locally-defined in LEA Configuration.
- Exempt Status– Read-only; inherited from Position Title.
- Position Term– Number of months out of the school-year that the position is filled.
- Position Status
- Vacant – no current assignment
- Staffed-Fully – employee currently assigned and Percent Employed = Percent Funded
- Staffed-Partially – employee currently assigned and Percent Employed < Percent Funded
- Pending Vacant – employee currently assigned and assignment has an end date
- Inactive – position is not in use
- Frozen – employee cannot be assigned to position
- Pending Purge – position may be deleted
- Classification– Continuing or Temporary
- Title I Designated Position – Unspecified, Yes, or No
- Start Date and End Date– Used only if Classification is Temporary
- CDL Required– indicates whether position requires a Commercial Driver's License
- Time Basis– Full-time or Part-time
- Position Type– Licensed, Classified, Bus Driver, or Substitute

- Description – Text description of position that may be more specific than Position Title. Although this is a free-text field, you should try to use consistent values since this field will display on other forms and on reports. Example: If Position Title is Teacher Elementary, Position Description could be 1st Grade Teacher.

Reporting Information
- SS200 – Classification used to report the position on the NC SS-200 Report (Full-Time Personnel Report). See SS200 Category descriptions below.
- SS300– Classification used to report the position on the NC SS-300 Report (Local Salary Supplement Report). See SS300 Category descriptions below.
- Census – Classification used to report the position on the old SS-510 Report (Bureau of the Census Supplementary Data Report). Note: The SS-510 report is now obsolete. However, some LEAs use SS-510 data to assist with preparing the E-6 Report (Annual Survey of Public Employment and Payroll - School Systems). See Census Category descriptions below.
- EEO5 – Classification used to report the position on the Federal EEO-5 Report (Elementary and Secondary Staff Information Report). Options are same as SS-200 Report. See EEO-5 descriptions below.
SS-200 / EEO-5 Classifications
- 1 – Officials, Administrators and Managers
- Administrative personnel who set broad policies (not elected or appointed officials), exercise overall responsibility for execution of these policies, or direct individual departments of the school system, or district or school operations.
- Includes superintendent of schools, deputy, associate, and assistant superintendent of schools, school business officials, directors and administrators of district-wide programs, and other professional administrative staff.
- Do not include principals, assistant principals, or supervisors of instruction.
- 2 – Principals
- Staff members performing the assigned activities of the administrative head of their respective schools (not school systems or districts) to whom has been delegated responsibility for the coordination and direction of the activities of the school.
- 3 – Assistant Principals (Teaching)
- Staff members who, in addition to assisting the head of a school (normally the principal) in performing the activities of directing and managing schools, are also engaged in instructing pupils in courses in classroom situations.
- 4 – Assistant Principals (Non-Teaching)
- Staff members who perform only the professional activities of assisting the head of a school (normally the principal) in performing the activities of directing and managing a school.
- Note: Classroom Teachers (5, 6, 7) Definition
- Staff members assigned the professional activities of instructing pupils in courses in classroom situations for which daily pupil attendance figures for the school system are kept. Include music, band, physical education, and home economics teachers, etc. as classroom teachers if they teach full-time at a school campus.
- 5 – Elementary Classroom Teachers
- Include classroom teachers who teach classes in grades K-8.
- 6 – Secondary Classroom Teachers
- Include classroom teachers who teach classes in grades 9-12.
- Note: Report teachers who teach at both elementary and secondary levels only on the level where the greater portion of their time is spent.
- 7 – Other Classroom Teachers
- Applies to full-time classroom teachers who teach ungraded classes, special education, art, music, band, physical education, home economics, etc.
- Only include those who have not already been reported in the Elementary or Secondary Classroom Teacher category.
- 8 – Guidance
- Counselors, Student Counselors, and other guidance personnel.
- Include staff members responsible for advising pupils with regard to their abilities and aptitudes, educational and occupational opportunities, personal and social adjustments, etc.
- 9 – Psychological
- Include only psychologists, psychometrics, psychiatrists and psychological/social workers who are engaged in providing psychological-evaluative services to pupils for placement purposes regardless of the amount of time spent in this activity.
- All other professionals engaged in placement of pupils should be reported in their most pertinent category, such as 1 (Officials/Administrators/Managers), 8 (Guidance), or 12 (Other Professional Staff), etc.
- 10 – Librarians, Audiovisual Staff
- Librarians include staff members who are responsible for organizing and managing school libraries.
- Audio-visual personnel include staff members responsible for preparing, caring for, and making available to instructional programs, the equipment, materials, scripts, and other aids which assist teaching and learning through special appeal to the senses of sight and hearing; e.g., a director of audiovisual services, scriptwriter, etc.
- 11 – Consultants, Supervisors of Instruction
- Include staff members who perform activities of leadership, guidance, and expertise in the field of specialization for the purpose of improving the performance of teachers and other instructional staff members.
- 12 – Other Professional Staff
- Include staff members performing some instructional or related function on a full-time basis who cannot be properly placed in other categories, such as non-classroom teachers who may be teaching the home-bound, teaching through correspondence, teaching through radio or television from a studio, providing instruction for exceptional pupils released from regular classes for short periods of time, and instructing pupils in non-course (co-curricular) activities.
- Include persons engaged in psychotherapy and other mental health services such as psychiatrists or psychologists who are not reported in the Psychological category.
- Also include professional non-instructional staff such as physicians, dentists, speech therapists, school social workers, community workers, attendance officers, attorneys, architects, engineers, registered professional nurses, and other professional non-instructional personnel.
- 13 – Teacher Assistants
- A staff member performing assigned activities which are not classified as professional educational, but which assist a staff member to perform professional-educational-teaching assignments.
- Include all personnel working with students under the direct supervision of either a classroom teacher or a staff member performing professional-educational-teaching assignments on a regularly scheduled basis.
- Include Exceptional Children assistants and Tutors in this category.
- Example 1 – Librarian Aide: A librarian aide who functions to fulfill particular educational needs of specific students on a regularly scheduled basis should be reported as a Teacher Assistant. A librarian aide who functions as a clerical or physical aide to the librarians and whose contact with particular students is casual or irregular should be counted in the Librarians, Audiovisual Staff category.
- Example 2 – Playground Aide: A playground aide who has been advised by the professional staff of the particular educational needs of specific children and who regularly directs efforts toward meeting these needs should be counted as a Teacher Assistant. A playground aide whose prime function is custodial should be counted in the Service Worker category.
- 14 – Technicians
- Occupations requiring a combination of knowledge and manual skill which can be obtained through about 2 years of post-high school education, such as is offered in many technical institutes and junior colleges, or through equivalent, on-the-job training.
- Includes: computer programmers and operators, film inspectors, projectionists, graphic artists, drafters, engineering aides, non-teaching-related mathematical aides, nurses (licensed, practical or vocational), dietitians, photographers, radio operators, scientific assistants, technical illustrators, technicians (medical, dental, electronic, physical sciences) and similar occupations which cannot be properly classified in other activity assignments.
- 15 – Clerical, Secretarial Staff
- Include secretaries, bookkeepers, messengers, office-machine operators, clerk-typists, stenographers, court transcribers, hearing reporters, statistical clerks, dispatchers, license distributors, payroll clerks, etc.
- 16 – Service Workers
- Staff members performing a service for which there are no formal qualifications including paraprofessionals and nonsupervisory personnel in cafeteria or transportation work.
- Include custodial workers or others with the responsibility for cleaning the buildings of school plants or supporting service facilities; preserving the security of school property; and keeping the school plant safe for occupancy and use.
- Such activities may include cleaning, sweeping, disinfecting, cooling/heating, lighting, moving furniture, keeping school entrances appropriately locked or unlocked, keeping such facilities as fire escapes and panic bars in working order, and guard duties.
- 17 – Skilled Crafts
- Occupations in which workers perform jobs which require special manual skill and a thorough and comprehensive knowledge of the processes involved in the work which is acquired through on-the-job training and experience or through apprenticeship or other formal training programs.
- Includes: carpentry, electricial, HVAC/stationary engineers, heavy equipment operators, locksmiths, machining, mechanics, painting, plumbing, typesetters, and kindred workers.
- 18 – Laborers, Unskilled
- Staff members who perform manual labor not classified in another activity assignment classification.
- Include garage laborers, car washers/greasers, gardeners/groundskeepers or activities such as lifting, digging, mixing, loading, and pulling operations.
SS-300 Classifications
- 1 – Teachers
- Include classroom teachers who teach classes in grades K-12.
- 2 - Principals (Elementary)
- Staff members performing the assigned activities of the administrative head of their respective schools (not school systems or districts) to whom has been delegated responsibility for the coordination and direction of the activities of the school. Grades K-5.
- 3 - Principals (Junior/Middle)
- Staff members performing the assigned activities of the administrative head of their respective schools (not school systems or districts) to whom has been delegated responsibility for the coordination and direction of the activities of the school. Grades 6-8.
- 4 - Principals (High School)
- Staff members performing the assigned activities of the administrative head of their respective schools (not school systems or districts) to whom has been delegated responsibility for the coordination and direction of the activities of the school. Grades 9-12.
- 5 - Assistant Principals
- Staff members who perform professional activities of assisting the head of a school (normally the principal) in performing the activities of directing and managing a school.
- 6 - Supervisors
- Staff members in a supervisory role who do not fall into another SS300 classification.
- 7 - Associate/Assistant Superintendents
- Administrative personnel who set broad policies (not elected or appointed officials), exercise overall responsibility for execution of these policies, or direct individual departments of the school system, or district or school operations. Includes deputy, associate, and assistant superintendent of schools, only.
- 8 - Superintendents
- Administrative staff member who sets broad policies (not elected or appointed officials), exercise overall responsibility for execution of these policies at the district level. Includes superintendent of schools, only.
- 9 - Band Directors
- Staff members specifically classified as a Band Director.
- 10 - High School Coaches
- Staff members assigned to coach high school athletics (grades 9-12).
- 11 - Other
- Other staff who do not fall into one of the above SS300 Categories who receive a supplement.

Local Use Fields
The System Administrator may define up to five
Position Local Use fields in the LEA Configuration. These local use fields allow you to capture position information (such as sport season) that is not available on the standard Position form.

Salary/Payment Information
- Payment Method– Salaried, Hourly, or Flat Dollar.
- Base Pay Table– Default Pay Table (Salary Schedule) from which the position is paid.
- Grade– Default Grade for position.
- Standard Hours– Standard number of hours per work week.
- Hours Funded(Hourly positions only) – Funded hours per work week.
- Percent Funded (Salaried positions only) - Funded percentage of work week.
You can update Pay Table and Grade on the Edit Position form, or
import Pay Table, Grade, and Budget Codes from Payroll for a current position assignment.

Budget Code Information
You may create Position Budget Codes in HRMS (as described below), or
import budget codes from Payroll.
To create a Position Budget Code in HRMS:
- Go to the Edit Position form.
- Click the New Position Budget Code link under the Budget Code Information heading.
- Complete the form and click Save.
Position Budget Codes can use either a
Pay Table or a
Flat $ Amount.
Important! The Salary Schedule and Budget Code Library Names on the
LEA Settings form must reflect the current school year!
To
edit a Position Budget Code:
- Go to the Edit Position form.
- Click the Edit button for the appropriate Budget Code.
- Make the desired changes and click Save.
To
delete a Position Budget Code:
- Go to the Edit Position form.
- Click the Delete button for the appropriate Budget Code.
- Confirm the deletion.

Assignment Information
The Assignment Information section displays data for
Current, Future, and
Archived (past) Assignments that exist for the Position.
On the Edit Position form, you can:
- View Assignment Details by clicking on an assignment row.
- Update the position's Pay Table, Grade, and Budget Codes from Payroll data by clicking the Import link.
- The Import link only displays for Current assignments.
- The Allow Update field in the Position Information section must be set to 'Yes'.
